Travel

  • Parent permission/information form provided by the RHSAA.

  • All travel shall be arranged by the RHSAA office in the form of a bus or a van

  • Use of private vehicles is discouraged. In the event that private vehicles are used, they

must be driven by approved school personnel. Travel with a private vehicle is ($0.35/KM)

  • Departure times shall be determined in consultation with the RHSAA, coaches, and administration.

  • Athletes are expected to travel with arranged travel or with their own parents only.

    Supervision

  • It is expected that teams are supervised by at least one school staff member. Suggested athlete/supervisor ratio is 20-1

  • There shall be approved female supervision for female athletes and approved male supervision for male athletes.

  • In the event that a travelling team consists of athletes from more than one school board, there should be at least one supervisor from each represented board.

  • If there is no supervisor from the represented board, written permission is required from parents to authorize supervision (SHSAA non-faculty declaration form).

    Accommodation

  • To insure accommodation the RHSAA will book hotel rooms once the host site has been determined.

  • Schools are NOT to book accommodation on their own.

  • The RHSAA and subsequent boards are responsible for room and taxes only for team

    personnel.

  • Room occupancy is four (4) athletes per room. Two same sex coaches/supervisors per

    room (One per bed)

  • If athletes are staying/travelling with their parents the RHSAA and participating boards are not

    responsible for cost of accommodation.

  • Room limits – See chart

  • Once a team qualifies for provincial play downs, the RHSAA office will ask for rooming

lists to be filled out in the digital format provided by the RHSAA office.

  • Not all provincial competitions require accommodation. Travel distance and availability

of hotel rooms may determine whether there is a need for accommodation.

  • The RHSAA requires a copy of the invoice for accommodation and subsequently asks

that a copy be returned to the office by one of the coaches.

    Cost Reimbursement

The RHSAA and participating boards do not wish coaches/supervisors to incur food and gas expenses. The RHSAA will reimburse coaches and supervisors for the cost incurred with the submission of receipts. Receipts are to be submitted to the RHSAA office within three weeks of the event. Maximum daily allowance is breakfast ($11), Lunch ($11) and Supper ($18). As with any school related event coaches are expected not to indulge in alcohol at any time during the trip.
